CallingHelper is a free, independent tool that helps stakes, wards and branches manage callings, releases, sustainings and activity registrations. It is not affiliated with The Church of Jesus Christ of Latter-day Saints.
Who is responsible
Each unit decides what it records about its members and who in the unit can see it. We host that information for the unit and use it only to provide the service. Questions about what your unit records go first to your unit's leaders.
What is stored
- Users: name, username, email, unit, callings, language and preferences. Passwords are stored only as one-way hashes.
- Members named in the app: name, unit, the calling or release proposed, approval decisions, dates and leaders' notes.
- Activity registrants: name, email, unit, answers to the organizer's questions, uploaded documents and amounts paid. If the organizer asks for them: medical notes, dietary restrictions, an emergency contact and a health insurance card number.
- Technical: sign-in times, IP address, browser and device type, and which pages are visited.
We do not process card payments. We use no advertising, analytics or tracking cookies.
How it is used
Only to run the service: route proposals through your unit's approvals, send the emails the service needs, run activities, and keep the service secure. We never sell it or use it for advertising.
Who can see it
Users see only what their calling allows, within their own unit or with units that have agreed to share. Health details are shown only to the organizing unit's activity leaders, and to the registrant through their private link.
No personal information is sent to any other company or service, unless the law requires it. Some app wording, such as calling names and activity questions, is sent to an automatic translation service. It never includes personal information, so organizers should not put any there.
Where it is kept
Everything, backups included, stays on private servers we operate in Quebec, Canada, and never leaves Quebec. If you use CallingHelper from outside Canada, your information is stored in Quebec.
How long
Health details are deleted when the activity is archived, or 30 days after it ends at the latest. Logs are kept 7 days and page-visit statistics about 13 months. Everything else stays until the unit deletes it. When a unit deletes its account, all of its data is permanently deleted, and backup copies disappear as older backups are replaced.
Security
Encrypted connections, hashed passwords, lockouts after repeated failed sign-ins, and strict separation between units.
Cookies
Only two: session keeps you signed in, and lang remembers your language for 30 days.
Children
The unit organizing an activity decides whether youth may register, and whether a parent or guardian must register them. That unit obtains a parent's consent where the law requires it.
Your rights
You can ask to see, correct or delete your information. Users can edit their own profile, and registrants can change or cancel their registration through their private link. For anything else, ask your unit's leaders, or write to us through the Feedback link at the bottom of every page. You do not need an account; visitors give a name and email so we can answer. We reply within 30 days. You may also complain to the Commission d'accès à l'information du Québec.
Changes
We will post any change here and update the date above.
This notice is available in every language of this site. If the versions differ, the English version prevails.
